Logistics and Purchasing Coordinator - Supply and Packaging

Duties and Responsibilities:

Operations: 

  • Direct and communicate freight quote requests to forwarder for open purchase orders
  • Communicate correspondence with our overseas vendor(s) in a timely manner
  • Assist Purchasing Director with tracking of production schedule and dates
  • Effectively communicate activity from weekly vendor production reports to applicable teams
  • Confirm preferred freight method prior to order completion
  • Assist Purchasing Director with the bookings of FCL/LCL as well as air freight shipments
  • Monitor Global Trade Data through forwarder
  • Update daily internal tracking reports with applicable flight and sail dates
  • Provide advanced notice, packing slips, and tracking information to respective distribution centers for incoming shipments
  • Inform Sales Representatives to collect balances owed on custom orders upon export  from factories
  • Assess our inventory needs for our distribution centers and communicate to forwarder with direction on delivery of containers to appropriate destinations
  • Provide the Operations team with shipping costs, and duties and taxes required for landed costs
  • Report overages and shortages to vendors
  • Generate internal purchase orders for receipt of surplus inventory when required

Purchasing:

  • Assist Purchasing Director with timely payment requests to Finance for high-volume vendors in accordance with payment terms
  • Inform Purchasing Director of inconsistencies with receipts (items) and vendor invoices 
  • Compile detailed documentation for Cost Accounting on domestic custom orders
  • Assist Project Manager and Purchasing Director for custom sampling and non-Supply and Packaging custom orders
  • Coordinate with Marketing team to assess deliverables according to needs and timeline

Qualifications & Skills Required

  • Proven work experience as a Purchasing assistant, agent, coordinator or supervisor or similar role
  • Must have experience with demand and production planning in a wholesale environment
  • Good knowledge of vendor sourcing practices (researching, working with forwarders, factories, vendors and Asian offices, evaluating and liaising with vendors)
  • Must have knowledge and experience working closely with Asian factories monitoring and tracking production schedules
  • Hands-on experience with purchasing software (Netsuite, excel, powerpoint, word)
  • Understanding of supply chain procedures
  • Solid analytical skills, with the ability to create financial reports and conduct cost analyses
  • Minimal Negotiation skills required
  • BSc in Logistics, Business Administration or relevant field
  • Chinese speaker is highly desired
