Job purpose

The Senior Executive Assistant will provide high-level administrative support to company executives. In this role, he/she will be researching, preparing reports, as well as maintaining travel, calendar and expense management for C-Level Executives and supporting activities related to business operations, capital raising, mergers & acquisitions and timely filings of SEC documentation.

Duties and responsibilities

  • Manage the calendar, meetings, schedule, travel arrangements, expense reports, and other administrative daily duties for Chief Financial Officer and Chief Strategy Officer.
  • Serve as the liaison to the board of directors, investors, advisers, management team and other high-level contacts. Exercise tact and discretion at all times.
  • Be a key resource in preparing for board meetings, business & corporate development meetings, as well as financings. 
  • Provide support around developing clear and effective presentations.
  • Coordinate and manage calendar, including meeting/call preparation, ensure all calendar invites have been sent and accepted, prepare agenda in advance, arrange meeting facilities, coordinate with other participants and/or presenters, act as recording secretary and prepare all action minutes if applicable.
  • Independently perform special projects that require discretion, practical judgement, cost/benefits analysis, technical know-how, and an extremely high sense of detail.
  • Solicit information from the executive team, provide critical updates, anticipate questions and organize priorities.
  • Must be proactive in all areas of work.
  • Apply a thorough knowledge of company operations and policies and procedures daily.
  • Provide back-up administrative support and respond to a wide variety of requests from multiple sources.
  • Work with executives in reference to any personal matters that may come up i.e.; errands, personal travel arrangements, reminders of important personal events.

Qualifications & Skills Required

  • At least 5 plus years office management experience in a fast-paced, dynamic environment.
  • Experience in both a public company environment as well as a start-up strongly preferred; success is contingent upon being able to flex between the two;  consumer, retail or distribution industry experience will also be favorably considered.
  • Ability to succeed in a fast-paced and entrepreneurial environment, with a willingness to share in both the “big picture” thinking and organizational tasks.
  • Heavy calendar management both personal and work related.
  • Must be reliable and flexible with the ability to work nights and/or weekends.
  • Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs.
  • Ability to manage conflicting priorities and deliver on the most critical assignments on time and within budget.
  • Must have a positive “can do” attitude, be a consummate team player, and show excellent judgment as well as work well independently.
  • Must be highly proficient in Microsoft Office including Word, Outlook, Excel, PowerPoint along with experience setting up systems and databases.
  • Must have excellent written and verbal communication skills.
  • High attention to detail and ability to effectively multi-task.
  • Willingness to travel with the team to other locations both domestically and internationally.
