Job Purpose

The operations administrator is responsible for providing administrative support for the operations & warehouse environments and supporting our internal customers. Must be able to demonstrate the knowledge and skills necessary to provide logistical and operational support to the operations team.

Duties & Responsibilities

  • Making sure all orders ship daily from our distribution networks
  • Manage the day to day inventory adjustments and report inconsistencies – shipping errors, shortages/overages/damages, cycle counts
  • Create monthly, weekly, and daily reports to be sent to various departments and representatives as follows:
    • Generate ‘Warehouse Performance Results’ daily email for orders, by department and warehouse, shipped by the cut off time and reasons for any missed orders
    • Generate ‘Outstanding Orders’ daily email for any orders missed the day prior by the cut off time
    • Review POs received/OSDs from the day prior to ensure proper paperwork was uploaded
    • Review back ordered orders daily – move orders where needed and alert reps
    • Generate inventory adjustment report by DC by category – weekly, monthly, quarterly, and yearly
    • Generate weekly scorecard for warehouses detailing on-time percentage, error percentage, and inventory adjustments
    • Review freight order item fulfillment to ensure proper paperwork is uploaded along with PRO#
  • Create landed cost files for all applicable vendors in both US and Canada Distribution Centers
  • Receive & fulfill dropship S&P orders
    • Secure Backup documentation – BOL, Packing Slip, Proof of Delivery
    • Landed cost sheet – create based on inbound costs (freight, fees, and duties)
    • Create Item receipt and upload backup documents
    • Create Item fulfillment and upload backup documents
  • Prepare shipping documents (domestic and international) as follows
    • Shipping Labels, Commercial invoices, and Electronic Export Information
  • Oversee automated manage intercompany process – resolve errors and bring to IT if needed
  • Manage Operations system tickets as follows
    • Pull Order Edit, Order Edit, Shipping Method Change, Warehouse Switch, COD Request, Tracking # Issues, IA requests, To Ship, Warehouse Count Request, Other Issues, Shipping label request – Warehouse & Retail Label Request
  • Manage backorders – initiate transfers when needed and move orders when needed
  • Support warehouses, internal and external customers to ensure a positive experience
  • Other duties as assigned by manager or designee

Qualifications & Skills Required

  • Excellent computer skills required. Proficient in Microsoft Word & Excel
  • NetSuite experience is a plus
  • Exceptional communication skills (both written and oral)
  • High attention to detail and excellent organization skills
  • Outstanding work ethic
  • Good writing, analytical and problem-solving skills
  • Self-starter with high energy level
  • Knowledge of Inventory Control practices
  • Understanding of the Supply Chain
  • Domestic & International shipping knowledge
  • Dangerous Goods Certification a plus
