Administrative Sales Assistant

Job purpose:

Warehouse Goods is seeking an Administrative Sales Assistant to provide a wide range of fast-paced support to the VP of Sales.

Duties and responsibilities:

  • Manage VP of Sales’ phones, messages, calendar, and appointments dealing with both internal & external contacts
  • Prioritize calendar in order to keep focus on tasks at hand
  • Coordinate and schedule meetings and conferences
  • Work closely with the VP of Sales to keep him informed of upcoming commitments and responsibilities keeping him on track and focused
  • Coordinate travel arrangements, both domestic and international
  • Prepare and process expense reports, records and internal documents
  • Conduct industry research, prepare materials such as presentations, reports and spreadsheets
  • Liaise with high profile individuals, multiple levels of managements and staff
  • Miscellaneous office duties

Qualifications & Skills Required:

  • College degree
  • Minimum 3+ years of administrative experience
  • Tech savvy with advanced proficiency in Microsoft Office Suite, Google; Gmail, Docs, Sheets
  • Experience with Netsuite highly preferred
  • Highly organized and able to effectively manage competing priorities in a fast-paced environment with a sense of urgency while being detailed and highly organized
  • Eager to thrive in a long-term support role; team player mentality a must
  • Exercises discretion regarding highly confidential information
  • Strong verbal and written communication skills, including the ability to draft, edit, and proofread corporate documents
  • Positive, resilient, and flexible with a "no task is too big or too small" approach; proven ability to engage with staff at all levels
